School-leavers’ party planning checklist
Who books the room, when does the disco start and who stays with the children? Clear arrangements let the parent committee enjoy the party too. Use this checklist with school and include the details in your request.
Before booking: date, venue and programme
- Choose the timing. Will the disco follow the school performance or happen on another day? Note the full programme’s start and finish as well as the DJ’s playing time. Compare the packages before fixing the schedule.
- Count the pupils. Tell us whether one class, several final-year classes or younger children are joining. This helps us plan for the group.
- Check the venue. Discuss clear dance space, equipment access, power and sound limits with the venue manager. Keep exits and walkways clear.
- Allow for setup. Agree when the DJ can enter, where to unload and who opens the door. Setup and pack-down sit outside the agreed show time.
- Collect music requests. Ask pupils for favourite songs and discuss any expectations about lyrics or volume. A shared final song can make a lovely ending.
- Choose one contact person. This should be someone who knows the programme and is reachable during the party. Keep changes together so school, parents and DJ use the same plan.
During the party and at collection
School or the parent committee remains responsible for supervision. Agree which adults will attend and who helps with drinks, toilet visits and collection. The DJ runs the show and does not take over supervision.
Let children join in their own way. Not everyone wants to be at the front straight away. A quiet seat and the chance to watch first can help. Discuss access needs and sensitivity to light or sound in advance so we can think along with you.
Make the finish clear. Tell parents the collection time and entrance. Plan the final song and any thank-you so children are not leaving halfway through. Keep the equipment route clear afterwards.
Dancing outdoors? Agree beforehand what happens in rain, wind or thunder. Discuss a sheltered setup, power and a usable indoor alternative with the venue and DJ.
